A Restricted Board has its own access settings. Only the teams with access to the board can open it, and tasks created inside the board automatically inherit this access.
Individual tasks can still be shared with additional people or teams without giving them access to the Restricted Board itself. This is different from a Standard Task View, which organizes tasks using filters and does not change their access.
Create a Restricted Board
In Team Tasks, open the view menu and create a new Task View. Select Restricted Board. Enter a name and select the teams that should have access. Then select Create.
💡A Restricted Board starts empty. Tasks are added by creating them directly inside the board.
Check or change board access
Restricted Boards are marked with a lock icon next to the board name. Select the icon to see which teams have access. Use Edit access to change them.
The teams with access to the board are also part of the required access for every task inside it.
Task access inside a Restricted Board
Tasks created inside a Restricted Board automatically inherit the board's access.
The lock icon indicates that the task belongs to a Restricted Board and has mandatory board access.
This access cannot accidentally be removed from the individual task. If needed, you can give additional teams or people access to a specific task. Everyone with board access keeps access to the task, while the additional people or teams can also see that individual task.
💡Additional task access does not give someone access to the Restricted Board or to its other tasks.
Assignees and access
Assigning someone to a task does not automatically give them access. If an assignee is outside the board access and does not have additional access to the task, Facelift warns you. Add them to the task's access settings if they should be able to open it.
Where Restricted Board tasks appear
A task from a Restricted Board can also appear elsewhere in Facelift, for example in:
My Tasks
other task lists where it matches
related Content, Frames or Stories
Whether a user sees the task always depends on the task's access. The lock icon shows that the task belongs to a Restricted Board. Selecting it shows the board access and any additional access granted specifically to that task.
